The True Cost of a Candle: How to Calculate Your COGS (And Stop Losing Money)

If you’re anything like me, you didn’t start making candles because you have a deep, burning passion for data entry. You started because you love the craft. For me, it was the satisfaction of testing the perfect ratio of soy wax to fragrance oil, dialing in the cure times, and pouring beautiful custom vessels.

But when your studio starts to grow and orders begin pinging on your phone, a dark cloud usually rolls over the workbench: the administrative nightmare of tracking your costs.

Are you actually making a profit on that $24 candle, or are you accidentally paying your customers to take your products? If you are currently surviving on a chaotic mix of notebooks and basic spreadsheets, wondering why your bank account doesn't match your sales dashboard, this post is for you. Let’s talk about the reality of candle making math and how to calculate your true Cost of Goods Sold (COGS).

The Fractional Math Nightmare

Here is the fundamental problem: we don't buy our materials in the same format that we sell them. You buy a 45lb box of soy wax and a 16oz bottle of fragrance oil, but you sell an 8oz candle.

To know your true COGS, you have to break those bulk purchases down to the exact fractional gram or ounce that goes into a single vessel.

The Master Spreadsheet Formula

If you are building your own spreadsheet, here is the exact step-by-step formula you need to build into your rows to calculate the COGS for a single candle.

Step 1: Calculate Wax Cost

(Total Cost of Wax Box including shipping / Total Grams in Box) x Grams of wax per candle

Example: ($60 / 22,679g) x 200g = $0.52

Step 2: Calculate Fragrance Oil (FO) Cost

(Total Cost of FO Bottle / Total Ounces in Bottle) x Ounces of FO per candle

Example: ($28 / 16oz) x 1.5oz = $2.62

Step 3: Calculate Vessel & Hardware Cost

(Total Cost of Vessel Case + Shipping) / Number of vessels per case = Cost per vessel

Add the flat cost of 1 wick, 1 wick sticker, and 1 warning label.

Example: $2.00 (vessel) + $0.15 (wick/sticker) + $0.05 (label) = $2.20

Step 4: Factor in "Shrinkage" (The Hidden Cost) Never forget curing waste! You will spill wax, have leftover residue in your pouring pitcher, or occasionally have a sunken wick. Always add a 5% to 10% buffer to your raw material total to account for this waste.

The Final COGS Formula:

(Wax Cost + FO Cost + Vessel + Hardware) x 1.05 (Waste Buffer) = True COGS Example: ($0.52 + $2.62 + $2.20) x 1.05 = $5.60 True COGS

Graduating Beyond the Spreadsheet

When you are first starting out, a well-organized spreadsheet running this batch formula is your absolute best friend. However, as your material catalog expands and you start syncing sales across Etsy, Shopify, and local markets, updating those spreadsheets manually at midnight becomes a massive bottleneck.

Every time a supplier raises the price of fragrance oil by a few cents, you have to go in and manually update dozens of recipe cells just to keep your margins accurate. I know this pain intimately, because I spent years drowning in it for my own studio.

I eventually got so frustrated manually tracking fractional grams of wax and curing waste that I built my own manufacturing ledger to do it for me. That system eventually became WeCraft ERP. We engineered it specifically for makers, meaning you just log a production batch, and the software automatically deducts the exact fractional grams of your raw materials, instantly calculates your true COGS, and syncs your inventory so you never accidentally oversell.

If you're currently in the spreadsheet phase, take the time this weekend to build out the batch formula above—your bank account will thank you. But if you’re pushing serious volume and you're ready to reclaim your weekends, it might be time to step away from the manual data entry.

Keep making awesome stuff, and protect those margins!
